When you interact with triptheory.co, we collect the information you choose to share with us (like your name, email, and travel preferences) so we can:

  • Reply to you and help with trip planning (see Section 2),
  • Follow up directly with you about your inquiry or trip planning (see Section 5), and
  • Book travel for you if you decide to move forward (see Section 3).

We operate as an independent travel advisor affiliated with Famvia Travel, which provides the booking systems and support we use. When we actually book a trip, your information also goes into Famvia Travel's systems and out to travel suppliers (like cruise lines or hotels) as needed to complete your reservations (see Sections 3–4).

We do not sell your personal information. We share it only with:

  • Famvia Travel (our host travel agency),
  • Travel suppliers involved in your trip,
  • Service providers who help us run the website and emails, and
  • Authorities when the law requires it (see Section 4).

You can ask us to stop contacting you at any time, and you can contact us if you want to access, update, or delete your information, within legal/contractual limits (see Section 9).

triptheory.co ("triptheory.co", "we", "us", "our") provides travel planning content and helps you connect with a human travel advisor. This Privacy Notice explains how we collect, use, and share your information when you visit our website or contact us.

By using this site, you agree that we may handle your information as described below.

1. What we collect

We collect information that you choose to give us, including:

  • Contact details – such as your name, email address, and phone number.
  • Form responses – information you share on our website forms about your travel interests, preferences, and plans.
  • Trip details (later in the process) – if you choose to work with us on an actual trip, we may collect additional details needed to research and book travel (for example: preferred destinations, dates, budget, cabin or room preferences, loyalty numbers, and similar trip-related information).

We may also automatically collect basic technical information when you visit our site, such as your browser type and general usage data, often via cookies or similar tools. This helps us keep the site working and understand how it's used.

2. How we use your information

We use your information to:

  • Respond to your inquiries and communicate with you.

3. Our relationship with Famvia Travel and travel suppliers

triptheory.co operates as an independent travel advisor affiliated with Famvia Travel, a host travel agency that provides the booking infrastructure, tools, and support we use to serve you.

When you decide to move forward with a booking:

  • We may enter your information into Famvia Travel's systems in order to quote, hold, or finalize travel arrangements.
  • Your information may then be shared with travel suppliers (for example, cruise lines, hotels, tour operators, and other travel providers) as needed to complete your booking and manage your reservations.

4. When we share your information

We share your information only as needed to run our business and provide travel services, including:

  • With Famvia Travel, in our role as an independent travel advisor using their host-agency booking infrastructure.
  • With travel suppliers, such as cruise lines, hotels, resorts, and tour operators, to make and manage your reservations.
  • With service providers who help us operate our website, send emails, manage forms, or perform basic analytics. These providers are only allowed to use your information to perform services for us.
  • When required by law, such as to comply with legal obligations or respond to lawful requests from authorities.

We do not sell your personal information to third parties.

5. Email communications

If you give us your email address (for example, through a web form or by contacting us directly):

  • We will email you directly in connection with your inquiry or trip planning — for example, to respond to your questions, share trip ideas relevant to what you've asked about, or send planning information and quotes.
  • We do not maintain a separate newsletter or marketing email list; every email we send is tied to your direct relationship with us.
  • If you'd prefer we stop contacting you, let us know and we will honor that request, though we may still need to contact you about an active or upcoming booking you already have with us.

6. Travel Persona Discovery

The triptheory.co Travel Persona Discovery is a short questionnaire that helps us understand how you travel best. This section explains what we collect when you complete it and how we use that information.

Information we collect

When you complete the Travel Persona Discovery, triptheory.co may collect:

  • Your first name and last name,
  • Your email address,
  • Your questionnaire responses (selections and slider preferences),
  • Any optional written responses you choose to provide,
  • A short submission reference used to identify your responses,
  • A consent timestamp recording when you agreed to this notice, and
  • Security and technical information needed to operate the form and prevent abuse.

How we use this information

We may use this information to:

  • Identify and manage your submission,
  • Prepare and deliver your Travel Persona,
  • Prepare an internal travel-advisor summary to help us serve you,
  • Connect your submission with a trip-planning inquiry you may submit,
  • Prevent duplicate processing,
  • Maintain operational records,
  • Review a result when human review is required, and
  • Contact you about your Travel Persona or a related trip-planning inquiry.

Completing the Travel Persona Discovery does not subscribe you to newsletters, promotional emails, or other marketing communications.

AI-assisted processing

Your questionnaire responses may be processed using an AI service to help identify your Travel Persona and prepare client-facing and advisor-facing summaries. When this happens:

  • The structured first-name, last-name, and email fields are excluded from the AI-processing request.
  • The AI-processing request uses the short persona submission reference as its only respondent identifier.
  • Your questionnaire responses may be included in the AI-processing request.
  • Any optional written responses may be processed as submitted.
  • You are asked not to include identifying information in optional written responses, though we do not guarantee that optional narratives will never contain identifying information.
  • Some results may be held for personal review by a triptheory.co advisor before they are delivered.

Record matching

triptheory.co may privately use a normalized version of your email address to determine whether the same person has also submitted a trip-planning inquiry. This is used for service continuity and trip planning, not for advertising or profiling.

Service providers

In connection with the Travel Persona Discovery, triptheory.co may use service providers for:

  • Website and database hosting (Base44),
  • Workflow automation (Make.com),
  • Email delivery,
  • Cloud spreadsheets or operational reporting (Google services),
  • AI-assisted processing (OpenAI), and
  • Form security and abuse prevention (Cloudflare Turnstile).

Human review

A Travel Persona may occasionally require review by a triptheory.co advisor before it is delivered. This helps ensure the result is accurate and useful before it reaches you.

Retention and your privacy rights

Information collected through the Travel Persona Discovery is retained and may be deleted in accordance with the same framework described in Section 9 (Your choices) and Section 12 (How to contact us). You may request access, updates, or deletion of your Travel Persona Discovery information using the contact details below, subject to any legal or contractual obligations.

7. Cookies and similar technologies

Our site may use cookies or similar technologies to:

  • Keep the website functioning properly,
  • Understand basic usage (such as which pages are visited), and
  • Improve our content and user experience.

You can usually control cookies through your browser settings. If you disable cookies, some parts of the site may not work as intended. We do not currently respond to Do Not Track browser signals.
